Terms of Service
These Terms govern your use of ClubHouseAdmin, and by using it you agree to them. Last updated: 11 October 2026.
1. Who we are
ClubHouseAdmin ("we", "us", "our") is operated by Dylan Sheehy (ABN 14 705 991 967), Australia. "You" means the club, venue or organisation that signs up, and any person using the service on its behalf.
2. The service
ClubHouseAdmin is a content management platform for clubhouse screens and kiosks. Through a web portal, you can create and schedule content such as honour boards, noticeboards, local rules, course conditions, menu screens, event boards and results. That content is delivered to display hardware at your venue.
We may add, change or remove features over time. If we remove a core feature, we will give you reasonable notice.
3. Accounts
- You must provide accurate details and keep them up to date.
- You are responsible for all activity under your account, including activity by staff and volunteers you give access to.
- Keep your login details secure and tell us promptly if you suspect unauthorised access.
- You must have authority to bind your club or organisation to these Terms.
4. Your content
You own the content you upload or create in ClubHouseAdmin, including names, logos, photos, results and notices ("Your Content"). You grant us a limited licence to host, store, display and transmit Your Content only as needed to run the service for you.
You are responsible for Your Content. You promise that you have the right to use it and that it does not infringe anyone's rights or break the law. This includes photos of members and results that identify individuals: you must have any consents or permissions required to display them.
5. Member names and personal information displayed by clubs
The club alone decides whether to display member names and other personal information on its screens, and ClubHouseAdmin is not responsible for that decision.
Club's choice and control. The club chooses what appears on its screens, such as member names, photos, results, handicaps, honour board entries, birthdays or event attendance. We host and display that content on the club's instructions. We do not review, verify or approve it.
Club's responsibilities. By choosing to display member information, the club confirms that it:
- has obtained any consent or permission needed from the people named or shown, including parent or guardian permission for anyone under 18;
- complies with all privacy and data protection laws that apply to it, such as the Privacy Act 1988 (Cth) and, where relevant, the GDPR;
- complies with its own constitution, membership terms and privacy notices to members;
- will remove or change a person's details promptly when they ask, or when the club otherwise becomes aware it should.
No liability for us. To the extent the law allows, ClubHouseAdmin is not liable for any claim, complaint, loss or penalty that arises from the club's decision to display member information. This includes a member's objection to being named, a lack of consent, inaccurate or outdated information, or information being seen by visitors or guests in areas where screens are visible.
Indemnity. The club agrees to compensate us for any loss, cost or third-party claim we suffer because of content the club chose to display, except to the extent we caused it through our own breach of these Terms or the law.
Requests from members. If a member contacts us about their details being displayed, we will refer them to the club. We may remove content at the club's request, or where we are legally required to.
Nothing in this clause limits our own obligations to handle personal information in line with our Privacy Policy, or any right the club has that cannot be excluded by law.
6. Acceptable use
You must not use ClubHouseAdmin to display or distribute content that is unlawful, defamatory, hateful, sexually explicit, misleading or deceptive, or that infringes intellectual property or privacy rights. You must also not:
- attempt to access other customers' accounts or data;
- reverse engineer, copy or resell the platform without our written consent;
- interfere with or overload the service, or introduce malware;
- use the service in a way that breaches gambling, liquor or advertising laws that apply to your venue.
We may remove content or suspend access if we reasonably believe these rules are broken, and we will tell you why where we can.
7. Fees and payment
Fees are set out in your order, quote or plan at sign-up. Unless stated otherwise:
- fees are in Australian dollars and exclude GST or any other applicable tax;
- subscriptions are billed in advance and renew automatically for the same term until cancelled;
- subscription fees are charged automatically to the payment method you provide, through our payment provider, Stripe;
- where we agree to invoice you instead, invoices are payable within 14 days;
- we may change prices on renewal by giving you at least 30 days' written notice.
If a payment fails or is not made on time, we will let you know and give you a reasonable chance to pay or update your payment details. If it remains unpaid, we may pause the service until payment is made.
8. Hardware and third-party partners
ClubHouseAdmin runs on screens and kiosks supplied by third-party hardware partners or by you. Hardware is covered by the manufacturer's or supplier's own warranty and terms, not ours, unless we have agreed otherwise in writing. You are responsible for internet connectivity, power and a suitable installation environment at your venue.
If we refer you to a hardware or installation partner, that partner contracts with you directly. We are not responsible for their products or services.
The service may link to or integrate with other services, such as weather data or scoring systems. Those services are governed by their own terms, and we do not control their availability or accuracy.
9. Our intellectual property
We own the ClubHouseAdmin platform, software, templates, designs and branding. These Terms give you a non-exclusive, non-transferable right to use them for your venue's internal communications while you have an active subscription. Nothing transfers ownership to you.
10. Availability and warranties
We aim to keep the service available but do not guarantee it will be uninterrupted or error-free. We may carry out maintenance, and screens depend on your internet connection and hardware.
Nothing in these Terms excludes rights you have under the Australian Consumer Law or any other law that cannot be excluded. Subject to that, we provide the service "as is" and exclude all other warranties to the extent the law allows.
11. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential loss, loss of profit, or loss of data or goodwill. Our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim arose. Where the law allows us to limit liability for a breach of a consumer guarantee, we limit it to resupplying the service or paying the cost of having it resupplied.
You are responsible for checking that results, rules and notices shown on your screens are correct before they are published.
12. Term and termination
You may cancel at any time by giving us written notice. Cancellation takes effect at the end of your current paid term, and we do not give refunds for part-periods unless the law requires it.
We may suspend or end your account if you materially breach these Terms and do not fix the breach within 14 days of notice, or immediately if the breach cannot be fixed or puts others at risk.
After termination, we will make Your Content available for export for 30 days, then delete it in line with our Privacy Policy. Clauses that by nature should survive termination, such as ownership, liability and governing law, do so.
13. Changes to these Terms
We may update these Terms from time to time. For material changes we will give you at least 30 days' notice by email or in the portal. When a material change takes effect, an administrator from your club will be asked to read and accept the updated Terms before using the portal again. Your club's screens keep displaying content in the meantime.
For minor changes that don't affect your rights, such as corrections, we will update this page and its version without asking you to accept again.
14. Governing law and contact
These Terms are governed by the laws of Queensland, Australia, and both parties submit to the non-exclusive jurisdiction of the courts of Queensland. For customers outside Australia, nothing here limits mandatory consumer or data protection rights in your country.
